Your documents stay on your campus
AIDRE runs entirely on your institution's own servers, and you choose its AI model: a cloud AI service, or a model that runs on your own hardware. With a local model, every document stays inside your campus infrastructure from upload to download.
The whole package, in house
-
The software
AIDRE is installed on your servers by your IT team. It is not a hosted service: there is no AIDRE cloud for documents to pass through, and we have no way to see your documents.
-
The conversions
Reading documents, converting equations and producing tagged PDFs all happen on the same machine, with standard open-source tools installed alongside AIDRE.
-
The AI model
AIDRE works with cloud AI services or AI models that run on your own hardware, such as those served by LM Studio, Ollama or vLLM. With a local AI model, no document text or image leaves your machines.
The one choice that matters: where the model runs
AIDRE uses an AI model to write image descriptions, find headings and label tables. The model is the only part of AIDRE that can send anything off the machine, so where it runs decides whether a document leaves your network. A cloud model is supported for institutions that prefer one, and the choice is yours.
| Aspect | A model on your own servers | A cloud model |
|---|---|---|
| Document text and images | Never leave your machines | Sent to the provider your institution chose, under that provider's terms |
| Examples | LM Studio, Ollama, vLLM | Google Gemini, Anthropic Claude, OpenAI, DeepSeek |
| Cost | None per document | Billed by the provider per use |
| Hardware | A machine able to run the model, ideally with a GPU | No special hardware |
AIDRE ships with no provider chosen. Your administrator names one before the first run, so no document can go to a cloud service by default.
What is kept, and for how long
-
Uploaded files
Deleted as soon as the job finishes or is canceled. An interrupted job is held only temporarily, until the retention period removes it.
-
Repaired files and reports
Kept for one week by default so the instructor can download them, then deleted automatically. Your administrator sets the period.
-
Records and logs
The job list holds counts, settings and per-file results, never document text. Its log records job numbers and counts only: no file names, no content. AIDRE keeps no access log of its own.
FERPA and student records
AIDRE is built for instructors' own course materials: notes, slides, assessments and answer keys. Whether a given document may be processed, and with which model, is your institution's FERPA determination, and AIDRE is designed to fit it rather than make it.
- With a model on your own servers, no document text or image leaves your machines, which is the configuration for anything sensitive.
- With a cloud model, the documentation tells administrators plainly: do not upload student work, unreleased exam keys or other education records unless your institution has approved that provider for them.
- Drafting solutions with a cloud model is a separate switch, off by default, so a college can keep everything else on campus and still choose a cloud model for that one task.
No telemetry
AIDRE sends no usage statistics anywhere. Its web interface is built with Streamlit, an open-source toolkit that reports anonymous usage statistics unless told not to, and AIDRE's settings turn that reporting off.
